The Brief

To support the mother of the bride in producing two events across a wedding weekend in the Cotswolds: the first a wedding for 300 guests on Saturday, the second a birthday lunch for 200 guests on Sunday.

The events would be held in three structures within the gardens of the family home, and would incorporate four different dressing styles, flowers, lighting, high end food and drinks service and live music and acts at various stages, in addition to the wedding itself in a local church.

The Solution

Our client for this project had a very clear vision of every environment so we worked collaboratively to decide on the right suppliers, sourcing samples, obtaining quotes and finalising details over a period of 6 months.

Meetings were held regularly to update, discuss and amend, to spend time meeting with suppliers and later on bringing suppliers together to ensure totally seamless cooperation between the multiple contributors to the two days. Suppliers were brought together hailing from as far as London, Dorset, Cheshire and Winchester.

The guest list and multiple variations on the invitations and replies were co-ordinated, seating in the church was planned and supervised to ensure everyone could be appropriately accommodated. Our team liaised with the church so that every hope and expectation from all parties could be properly acted upon in good time.

Site specific considerations such as track-way for the parking field and supplier deliveries behind the main marquee, security at the church to manage the narrow lanes, and coping with unplanned roadworks outside the drive to the house on the wedding day were all part of the mix as we approached the wedding!

When the build began we were on hand to coordinate all suppliers, ensuring every detail was followed through and providing the client with one point of contact to manage questions, changes and amendments from the supplier and client perspective.

For both the wedding, reception and lunch we oversaw the delivery of the event to the highest possible standard, from bridal cars and guest mini buses, to bridesmaid bouquets, the linens, tableware and flowers, to fire safety and back-up brollies.

Our influence that weekend even extended to the weather…. which was the kind of every family planning a wedding dreams of, sunny, warm and dry with blue skies!
